Start AI automation with one bounded workflow, not an “AI transformation.”
Small businesses usually get more value from automating one repetitive, measurable workflow than from deploying a broad agent platform with unclear ownership. The first goal is to find a workflow with obvious inputs, a clear owner, a reversible failure path, and a result you can measure.
Choose the first workflow
- List repetitive tasks that happen at least weekly.
- Estimate the minutes or hours currently spent per occurrence.
- Identify the system of record for the input and final result.
- Define what should happen when data is missing or ambiguous.
- Prefer workflows where a human can review the first few outputs.
Good starter candidates
Lead intake routing, appointment follow-up, repetitive reporting, document handoff, structured support triage, internal summaries, and simple cross-system data synchronization can be reasonable starting points when access controls and rollback are clear.
Estimate whether it is worth automating
Compare setup effort and recurring costs against time saved, avoided errors, faster response, or increased conversion. Do not count speculative revenue as realized ROI.
